§ 03 — Out of scope

Out of scope (so you know up front).

Tier 2 automates coordination across your practice. The professional work — preparation, advisory, audit response — and anything that genuinely requires a senior reviewer’s judgment stays with your team.

§ 04 — Setup

Setup process.

Six to eight weeks from kickoff to live, then a tuning loop until close cycle times drop and deadlines stop slipping.

  1. Week 011 / 4

    Discovery.

    We map onboarding plus your monthly close — what gets chased, who owns which clients, where deadlines slip, what your team does manually that they wish they didn't.

  2. Week 02–052 / 4

    Build.

    Onboarding agent (carried over from Tier 1), close-coordination agent, internal task assignment logic, deadline monitoring, staff utilization dashboards, and integration with your practice-management stack.

  3. Week 063 / 4

    Soft launch.

    Live on a subset of clients first. Daily review of every agent action with you for the first week so we can correct course before scaling to the full book.

  4. Week 07+4 / 4

    Tuning loop.

    Weekly review of close-cycle time, deadline-miss rate, staff utilization, and chase-email volume against your ROI target. We tune until the numbers hit, then keep tuning.

§ 05 — Operating model

What you own. What we operate.

A live AI agent isn’t a code drop. Here’s the line between what’s yours and what we run on your behalf.

  • 01Your firm's email domain — we send from your domain, never ours.
  • 02Your client portal accounts (TaxDome, Liscio, whichever you run).
  • 03Your practice-management account, registered in your firm's name with Monarch as admin.
  • 04All client documents, communication archives, and onboarding records.
  • 05Your agent configurations as exportable specs.
We operate
  • 01Every agent in the suite — prompts, integrations, workflow logic, tuning.
  • 02Monitoring, incident response, and uptime.
  • 03Vendor relationships for ancillary services (LLM, email infra) and billing reconciliation.
  • 04Weekly performance reviews against your ROI target.

Termination30-day handoff window. We export every agent configuration, transfer any service accounts (e.g. SendGrid sub-account), and document the workflow so a successor can pick it up. No claw-backs, no hostage situations.

§ 06 — Cost

Cost example.

Monarch retainer is fixed. Platform pass-through (email infra, LLM tokens, storage, workflow hosting) is itemized at cost on every invoice. Figures below are illustrative for a small to mid-sized firm running onboarding and monthly close across the book — not guaranteed.
