Custom Workflow Build.
Complex workflows that don’t fit a template. We scope, build, and deploy custom AI agents for your firm — with a fixed scope and a defined timeline before we sign anything.
What it does.
Tier 3 starts with everything in Tiers 1 and 2 as a baseline, then layers custom agents, multi-system integration, and workflow design tailored to your firm. Final scope is defined together during Discovery.

Integrations.
We plug into the tools you already run. Custom integrations — including niche tax software and voice when the engagement calls for it — are scoped per project.
- Practice management
- Karbon, Canopy, TaxDome, Jetpack Workflow
- Document collection
- TaxDome, Liscio, ShareFile, Box
- Accounting software
- QuickBooks Online, Xero, Sage Intacct
- Your firm's domain via SendGrid or Postmark, or your existing Outlook / Google Workspace
- Calendar
- Google Calendar, Outlook
- eSignature
- DocuSign, HelloSign (engagement letters)
- Niche tax software
- ProConnect, Drake, UltraTax — scoped per project
- Voice (when scoped)
- Twilio + Vapi/Retell for intake or reminder calls
Out of scope (so you know up front).
Tier 3 is bespoke. The exact boundaries get defined together during Discovery — we won’t pretend a templated list covers it. What stays out across every engagement, though, is the professional work itself: tax preparation, advisory, audit response, and any judgment that genuinely requires a CPA. We automate coordination and admin around your team’s work, not in place of it.
You’ll see the full out-of-scope list in writing — with milestones and acceptance criteria for everything that’s in — before either side signs.
Setup process.
Custom builds get a fixed timeline only after Discovery. Typical end-to-end range is 8 to 16 weeks depending on complexity. We’ll give you a defined scope with milestones before we sign anything.
- Phase 011 / 4
Discovery.
Deep workflow mapping with the partners and operations leads. We document every workflow in scope, every system involved, and every edge case. End of phase: a fixed scope, milestones, and a defined timeline. We don't sign until both sides agree on the page.
- Phase 022 / 4
Design.
Architecture, agent specifications, integration plan, and acceptance criteria for every milestone. You sign off before any production code is written.
- Phase 033 / 4
Build.
Iterative builds against the agreed milestones. Weekly demos. You see progress every week, not after three months of silence. Soft launch to a controlled subset of clients before full rollout.
- Phase 044 / 4
Operate.
Once live, the engagement transitions to ongoing operation — monitoring, tuning, optimization. Pricing structure for ongoing work is defined during Discovery alongside the build scope.
What you own. What we operate.
A custom AI build isn’t a code drop, but the boundary is the same as our other tiers — your data, your accounts, your IP; our runtime, our monitoring, our tuning.
- 01Your firm's email domain — we send from your domain, never ours.
- 02Your client portal, practice-management, and accounting accounts — all registered in your firm's name with Monarch as admin.
- 03All client documents, communication archives, and workflow records.
- 04Every agent configuration and custom workflow as an exportable spec.
- 05Any custom code Monarch writes for your firm — your repo, your IP.
- 01The custom build itself — agents, workflows, integrations, tuning.
- 02Monitoring, incident response, and uptime SLAs scoped to your engagement.
- 03Vendor relationships for ancillary services and billing reconciliation.
- 04Weekly reviews with a dedicated engineering lead.
Termination30-day handoff window. We export every agent configuration, hand over any custom code repos, transfer service accounts, and document the workflow so a successor team can pick it up. No claw-backs, no hostage situations.
Cost structure.
Tier 3 is scoped per engagement — sample structure shown. Concrete numbers come out of Discovery, in writing, before either side signs. Monarch fees are fixed; platform pass-through stays itemized at cost on every invoice.

Project pricing
At cost
- Email infrastructure
- Sized to volume across your client book. SendGrid or Postmark sub-account on your firm's domain.
- LLM tokens
- Claude Sonnet for document understanding and orchestration. Token usage scales with the document and email volume in your scoped workflows.
- Storage / file handling
- For documents the agent processes en route to your existing systems. Your client portal and practice-management tool remain the system of record.
- Workflow hosting
- Vercel functions or Lambda for the orchestration glue. Hosted by Monarch on your behalf.
- Voice (when scoped)
- Twilio for telephony and Vapi or Retell for orchestration only when the engagement includes voice intake or reminder calls. Most Tier 3 builds don't need this layer.
- Monarch fees
- Project pricing for the build, then a defined operating retainer once live. Both numbers are fixed and quoted in writing before we sign anything.
- Total monthly (est.)
- Quoted after Discovery
